[TO CONFIRM: registered company name and company number, or confirmation that the business trades as a sole trader or partnership]

[TO CONFIRM: registered office or trading address to publish here]

[TO CONFIRM: ICO registration number — most businesses that process personal data must register with the Information Commissioner’s Office and pay the annual data protection fee]

The information we collect

Information you give us. When you complete our enquiry form, email us or call us, we collect your name, email address, telephone number and any details you choose to share about your property and the work you are considering. If you go on to become a customer, we also hold your address and the records needed to quote for, carry out and invoice the work.

Information collected automatically. Our website and its hosting provider record technical information such as your IP address, browser type, device type, the pages you visit and the time of your visit. This is standard server logging, used to keep the site running and secure.

We do not ask for, and would ask you not to send us, special category information such as health details. We do not knowingly collect information about children.

How we use your information, and our lawful basis

Under UK data protection law we must have a lawful basis for using your personal information. The bases we rely on are set out below.

Responding to your enquiry and preparing a quotation. We rely on taking steps at your request before entering into a contract, and on our legitimate interest in responding to people who contact us.

Carrying out work, arranging site visits, and invoicing. We rely on performance of our contract with you.

Keeping accounting and tax records. We rely on our legal obligations. HMRC requires businesses to keep records for at least six years.

Keeping our website and business secure, and preventing fraud. We rely on our legitimate interests.

Sending marketing. [TO CONFIRM: whether you send any marketing emails, newsletters or follow-up offers. If you do, this section needs to state what you send, how often, and that consent can be withdrawn at any time. If you do not, say so plainly instead.]

Who we share your information with

We do not sell your personal information, and we do not share it for anyone else’s marketing.

We share it only where necessary to run the business: with the suppliers who host our website and handle our email, with our accountant, and with any tradespeople or subcontractors working on your project, who receive only what they need to do the job.

[TO CONFIRM: the specific suppliers to name here — website host, email provider, accounting software, and any regular subcontractors. Naming them is expected practice and makes the policy far more credible.]

We will also disclose information where we are required to by law, or to establish or defend legal claims.

How long we keep it

We keep enquiry records for as long as needed to respond and for a reasonable period afterwards in case you come back to us. We keep customer records, quotations and invoices for at least six years after the end of the tax year they relate to, to meet HMRC requirements, and for as long as our workmanship guarantee runs.

[TO CONFIRM: how long you want to keep enquiries that do not become jobs — commonly 12 or 24 months. Also the length of your workmanship guarantee, which sets how long project records need to be kept.]

Where your information is stored

Your information is stored on systems provided by our website host and email provider.

[TO CONFIRM: whether any of your suppliers store data outside the UK. If they do, this section must say which, and name the safeguard relied on — usually UK adequacy regulations or the International Data Transfer Agreement.]

Keeping your information secure

We take reasonable technical and organisational measures to protect your information against loss, misuse and unauthorised access. Our website is served over an encrypted HTTPS connection, and access to customer records is limited to people who need it.

No transmission over the internet can be guaranteed completely secure. If a breach occurs that is likely to result in a risk to your rights and freedoms, we will report it to the Information Commissioner’s Office within 72 hours, and tell you where the law requires it.

Your rights

Under UK data protection law you have the right to ask us for a copy of the personal information we hold about you; to have inaccurate information corrected; to ask us to delete information we no longer need; to ask us to restrict how we use it; to object to processing we carry out on the basis of legitimate interests; to receive certain information in a portable format; and, where we rely on consent, to withdraw that consent at any time.

To exercise any of these rights, email info@prestigedecks.co.uk. We will respond within one month. There is normally no charge.

Cookies

Our website uses a small number of cookies. These are explained in full in our Cookie Policy.

Changes to this policy

We may update this policy from time to time. The date below shows when it was last reviewed, and the current version always appears on this page.
